JOB DESCRIPTION: Program Co-ordinator
REPORTS TO: Program Manager
DATE POSTED: December 2011
MAJOR JOB RESPONSIBILITIES:
- Independently overseeing and managing orders for various yearly, quarterly or monthly programs.
- Assist the Program manager in the day to day duties of the specific program’s administration.
- Maintain accurate and up-to-date logs to track orders and ship dates and report to Program Manager and client.
- Daily program tracking to ensure deadlines are met.
- Daily communication with customers and vendors via e-mail, phone or fax.
- Sourcing creative product options to meet client objectives and timeframe, using preferred vendors where possible.
- Taking orders, following up with clients, and maintaining excellent client relationships.
- Comparing product options, negotiating best price and confirming pricing with vendors.
- Review and update programs on a quarterly and yearly basis on:
a) Web store
b) Excel Spreadsheets
c) Print Literature
- Daily resolution of client/vendor issues to ensure delivery dates are met.
- Contributing to systems development, overseeing processes and policies to ensure they are maintained.
- Desire to learn the business and to develop a strong career within our organization.
QUALIFICATIONS (MUST HAVES):
- Account Management experience
- Superior time management skills
- Experience in fast paced sales or marketing environment
- Extremely detail oriented with ability to multi-task
- Excellent communication skills – both written & verbal
- Excellent people skills – ability to interact with clients, as well as contribute positively to company culture
- Strong Computer skills – MS office and some creative software also “preferred”
- Dynamic self-starter with the ability to think on your feet
ADDITIONAL (NICE TO HAVE):
- Experience in the promotional marketing, print or advertising fields
- Experience working with Microsoft CRM (Customer Relationship Management )or other
- Bilingual (English/French)
